To act as the first point of contact for visitors and callers to Compco Fire Systems Oldbury Fabrication Facility and to undertake a range of other administrative tasks as identified by the company.
To open the main reception each morning
To ensure that the Kitchens are well stocked with Milk, sugar, tea and coffee.
To assist with the Fire test.
First aid trained and to check the reception first aid box is fully stocked up on a monthly basis. Also to order any new stock that is required.
Operate Compco’s switchboard receiving and transferring telephone calls, announcing callers, taking brief message and passing these on via the email system or connecting callers to staff members.
To maintain and ensure that the night service answer machine is appropriate and messages taken off on a daily basis.
To assist in the training of all new staff in the operation of the telephone system as part of the New Staff Induction process and to take a pro-active approach to ensure existing staff are properly trained on making full use of the system if requested.
Review and update on a regular basis the staff contact and telephone lists.
Meeting and greeting of clients and to sign visitors in and out of the building in line with company procedures.
Monitor and ensure that the reception area is kept tidy and projects a business-like image.
In the event of a fire and/or any other emergency requiring staff to leave the building, to be responsible for ensuring that the visitors book and staff movement sheets are removed from Reception and taken outside to the meeting point.
Check and sign for deliveries, before informing the relevant member of staff of their arrival.
Process and deliver internal and external mail daily.
To arrange couriers for parcels
To make drinks, booking/monitoring of meeting rooms as & when required.
Online Bookers order for cleaning supplies and Head Office refreshments every week.
To order and issue appropriate stationary for the building via our stationary suppliers if required
To carry out First Paige ordering of all printed forms letterheads, business cards and sprinkler plaques etc.
To raise purchase orders, to book hotels for office staff.
To produce ID cards if required
Weekly coordination of the location sheet for Oldbury
To book meeting rooms on reception outlook calendar
Arrange drinks and lunches for the board meetings as and when requested and carried out in Oldbury
Other Administrative Duties
To type up letters as and when requested by the various departments.
To laminate any documentation that is needed as and when requested
To monitor CCTV Cameras and whereabouts for the site and to report any faults on system etc.
To co-ordinate staff vehicle registration numbers together with assisting with the updates of all car registrations for the Oldbury Site.
To assist in managing Staff Car Park and to ensure that staff are parked within their allocated spaces.
To manage and co-ordinate the company time & attendance (key Fob System)
To report any office maintenance issues, such as Photocopier breakdowns
To bind documents when required
To enter new Key fobs into the Door access System and distribute to new starters when required.
To assist and support social and charity events within the office
Plus any other duties as requested by your Line Manager.
